No-show cost calculator for gyms and studios
A no-show in a full class is a spot someone else wanted. Put in your own numbers and see how many empty spots that is in a year, and what the ones in full classes are worth.
Empty booked spots
0 a year
- About 0 a month, across all your classes
- 0 of them in full classes, where someone else wanted the spot
- Those are worth about €0 a year in sales you couldn’t make
How we calculate: classes × people booked × 52 weeks × the share who don’t come = empty booked spots. Only the ones in full classes count as money, × what a class is worth. We leave the rest out on purpose: in a class with free spaces nobody was turned away, and if your rules keep the credit, the member has already paid.
Why it matters
Not every no-show costs money. Some do.
The calculator only counts the ones that do.
Someone else wanted that spot
In a full class, the person on the waitlist stayed home and the spot stayed empty. That’s the cost the calculator puts a number on.
The class feels emptier
Gaps on the floor change the energy of a class, for the people who came and for the trainer leading it.
It takes time at the desk
Rebooking, chasing and answering “is there still space?” messages add up over a week.
What helps
Five habits, and how MOTVIVO handles them
No magic numbers: what works depends on your members. These are the basics, and what MOTVIVO does for each. More on class booking.
- A reminder before class. In MOTVIVO, members who choose it get a reminder before each class they’ve booked, at the time you set.
- Cancelling in time should be easy. Members cancel in the booking app with one tap until your cut-off, and the spot is free again straight away.
- A waitlist that moves by itself. When someone cancels in time, MOTVIVO can book the next person on the waitlist in and tell them, without anyone at the desk (you choose whether it does).
- A clear rule, the same for everyone. You set the cancellation cut-off and what happens after it; MOTVIVO applies it and members see it before they book.
- Know who came. Checking people in shows you who keeps missing class, so you can talk to them in person.

About no-shows

What no-show rate is normal?
We don’t quote an average: it depends on your members, your classes and how easy it is to cancel. Check people in for a few weeks and you’ll know your own rate, which is the one that matters.
Why doesn’t the calculator count every no-show as lost money?
Because it often isn’t. If a class has free spaces, nobody was turned away. And if your rules keep the credit or class when someone doesn’t come, they have paid for it. The money you lose is the spot in a full class that someone else would have bought.
What counts as a no-show?
Someone who booked and didn’t come without cancelling. A cancellation after your cut-off has the same effect: it’s usually too late for anyone else to take the spot.
Should I charge for no-shows?
Many studios keep the credit or class, and say so clearly when people book. Whatever you choose, apply it the same way for everyone; it feels fair and members accept it.
